
Duties and Responsibilities
Provide comprehensive office support to ensure the efficient operation of an organizational unit. This includes reviewing, recording, routing, and processing mail and documents, gathering relevant background information, and tracking and following up on actions as necessary.
- Answer phone calls and greet visitors, addressing routine inquiries and requests for information. Prepare written responses or forward them to the appropriate staff for further action as required.
- Drive the UNIC Director and senior UN officials to and from official functions and events. Also, provide transportation for other UNIC staff to events when needed.
- Handle a variety of administrative tasks both internally and in coordination with other UN agencies and government entities. This includes tasks such as recording leave, organizing meetings, making reservations, ordering office supplies and equipment, processing official documents, and issuing official IDs and residency permits.
- Prepare or process administrative documents, including travel requests, expense claims, vouchers, and visa applications.
- Photocopy a variety of documents and materials.
- Operate and maintain office equipment such as photocopiers, fax machines, printers, and scanners to perform basic office functions.
- Transport, collect, and deliver packages or items, including picking up pouches from the airport or designated document collection points.
- Maintain the day-to-day operation of the assigned vehicle, including logging official trips, daily mileage, fuel consumption, and any required services.
- Perform other duties as assigned.
