
Essential Functions – Key Duties and Responsibilities
- Verify accepted insurance plans and identify those requiring referrals.
- Address and resolve system red flags as they arise.
- Schedule new and follow-up appointments professionally and courteously, ensuring adherence to performance standards.
- Provide timely and professional responses to inquiries from patients, families, physicians, and staff.
Electronic Health Record (EHR) Documentation
- Access and update the EHR to communicate with clinical staff and/or physicians.
- Manage assigned EHR in-baskets, work queues, and scheduling templates in line with performance standards.
Additional Responsibilities
- Participate in departmental and organizational projects as assigned.
- Perform other related duties as needed.
- Adhere to safety protocols, HIPAA guidelines, and compliance policies.
Qualifications & Skills
- High School Diploma or GED required.
- Minimum of 1 year experience in customer service within a medical office, insurance, call center, or client services environment.
- Appointment scheduling experience required.
- Proficiency in Microsoft Office applications and EHR systems (Epic preferred).
- Strong organizational, problem-solving, and decision-making skills.
- Ability to multitask, remain flexible, and work independently while also collaborating effectively across departments.
- Strong written, verbal, and interpersonal communication skills, including professional telephone etiquette.
- Demonstrated discretion and sound judgment when handling confidential information.
Work Schedule & Location
- Monday–Friday.
- Remote role.
- Applicants must be located outside of San Francisco; preference given to candidates in East Bay, South Bay, or North Bay.
